Position Description:    

We are seeking to fill a one-year, term-limited staff position in the Math department to provide administrative support to the Professors of the Practice (POPs) and to the undergraduate programs that they spearhead.

OCCUPATIONAL SUMMARY:

This position will report to the Associate Director of Undergraduate Studies (ADUS) and will administer the daily operations in support of the Professors of the Practice (POPs) and coordinate programmatic activities for the department’s undergraduate students. The successful candidate will work closely with the Math department’s Director of Undergraduate Studies, Supervisor of First Year Instruction, and Chair.  This position will also work with the Director of Graduate Studies (DGS) and Director of Graduate Studies Assistant (DGSA) where the graduate and undergraduate programs intersect. The work performed will include administrative duties of a complex and confidential nature in support of undergraduate labs, courses, and graduate student teaching and coordination with faculty to develop the administrative tools and data systems for strategic planning that advances the Department's undergraduate experience for the students, faculty, and the department.


WORK PERFORMED

Course/Lab Coordination – 65%

Course specific operations:

  • Assist L course coordinators (3-4) by organizing weekly course meetings with instructors and teaching assistants.
  • Attend L course coordinator/instructor meetings and coordinator/TA meetings.
  • Assist with the coordination of higher-level courses (202, 212, 216, 218, 230).

Course support:

  • Recruit help room and lab teaching assistants.
  • Assign/schedule help room and lab teaching assistants.
  • Provide hire data to Payroll Representative for data entry into iForms.  Approve timecards.
  • Coordinate absences and replacements.
  • Maintain website and other electronic sources and signage for current help room, lab, and tutor information.
  • Coordinate with ARC Study Groups and Learning Communities.
  • Coordinate Placement Tests.

 Teaching support:

  • Working closely with the Teaching Coach, Professors of the Practice, and DGS, coordinate the observation of each new graduate student instructor twice a semester, and once per semester after that.
  • Videotape each graduate student instructor at least once during their time at Duke.

 

Training and Data Management— 35%

Develop electronic data system to maintain accurate records of homework, assessments, grades, retention, and survey responses across and between courses and sections.

  • Intro classes: 105, 106, 111, 112, 122 and labs;
  • Help room classes:  all 100 level intro courses and 202, 212, 216, 218;
  • Dedicated help room for each 221 and 230; and
  • Over 40 TAs for Math 100 level.

Training and Professional Development Support:

  • Working closely with the Teaching Coach, Professors of the Practice, and DGS, coordinate the observation of each new graduate student instructor twice a semester, and once per semester after that.
  • Videotape each graduate student instructor at least once during their time at Duke.
  • Collect self-evaluations from first-year instructors and meet one-on-one with each instructor.
  • Assist with training week programming, including development of a basic orientation session for TA/help room staff.
  • Develop/maintain help room manual and materials.
  • Collect information for intro classes for help room use.
  • Maintain confidential records of all graduate student instructor teaching documentation and feedback.

 

REQUIRED QUALIFICATIONS AT THIS LEVEL

Education/Training:

Work requires analytical, communication and organizational skills generally acquired through completion of a bachelor’s degree program.  Academic credentials are also required.

Experience:

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

 

Skills:

Ability to provide guidance and direction to subordinates, co-workers, and superiors including setting standards and monitoring performance.

Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.

Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.

The ideal candidate will have high energy and creativity, outstanding time management and scheduling skills, and excellent oral and written communication skills to work with multiple Duke entities.  Discretion and the ability to maintain confidentiality is important.  The ability to recognize and minimize inherent bias in all its manifestations is essential.
